Privacy Policy

How Logika collects, uses, shares and protects information, including patient information processed for practices.

Overview

This Privacy Policy explains how Organic Search Inc. (“Logika”, “we”, “us”) collects, uses, shares and protects information when you use the Logika website, applications and services (the “Services”). Logika is an operations and communications platform for dental and specialty practices, covering appointment management, patient communication, phone and SMS, documents, payments and growth reporting.

Mobile and email consent. No mobile information, SMS consent, or email address collected through the Services is sold, rented or shared with third parties or affiliates for their marketing or promotional purposes.

Information we collect

Information you provide

  • Account and business information — name, work email, phone, practice name, role and billing details.
  • Communications — messages, call recordings and transcripts, emails and form submissions sent or received through the Services.
  • Patient information — a practice that uses Logika may enter or sync patient contact, scheduling and communication data. We process it on behalf of the practice (see “Patient information and HIPAA”).
  • Demo requests — the details you submit on our website, used only to reply to you.

Information collected automatically

  • Device, browser and usage data (IP address, pages viewed, timestamps) from standard logs, used to operate and secure the Services.
  • Email delivery events (delivered, bounced, complained, unsubscribed) used to stop sending to addresses that should not receive email.

How we use information

  • Provide, maintain and improve the Services.
  • Send the account, security and activity email and messages that you or your practice set up, and appointment messages on behalf of practices.
  • Authenticate users, prevent fraud and abuse, and keep the Services secure.
  • Comply with legal obligations and enforce our agreements.

Email

How we send email, what we send and how to stop it is described in our Email Practices. In short: we send only expected email, honor every unsubscribe, and suppress addresses that bounce or complain. You can change your choices at any time on the email preferences page.

SMS and voice

Text messages and calls are delivered through our communications provider, Telnyx. Phone numbers and message content are used only to deliver communications you or your practice requested or consented to. Message and data rates may apply. Reply STOP to opt out and HELP for help. How we share information

  • Service providers that help us run the Services — cloud hosting and databases, telephony and SMS, email delivery, payments and analytics — under contracts that limit their use of the data. Providers that handle patient information do so under a Business Associate Agreement.
  • Integrations you connect, such as practice management software, Google, Meta, Stripe or QuickBooks, only as needed for the integration you turned on.
  • Legal and safety — when required by law or to protect rights, safety and security.
  • Business transfers — in a merger, acquisition or sale of assets, subject to this Policy.

We do not sell personal information.

Patient information and HIPAA

For protected health information submitted by a practice, Logika acts as a Business Associate. We process it only on the practice's instructions and under the applicable Business Associate Agreement. Access to patient records is limited by role and recorded in an audit log. The practice is responsible for any patient consents it needs.

Security and retention

We use encryption in transit and at rest, role-based access controls and audit logging. We keep data for as long as needed to provide the Services and meet legal, accounting or reporting obligations, then delete or de-identify it.

Your choices and rights

  • Turn off notifications or appointment reminders on the email preferences page.
  • Opt out of SMS at any time by replying STOP.
  • Ask to access, correct or delete your personal information by writing to privacy@logikadental.com. Requests about patient records go to your practice, and we help the practice respond.

Children

The Services are not directed to children under 13. We do not knowingly collect their information except patient data processed for a practice under proper authorization.

Changes

We may update this Policy. Material changes are posted on this page with a new “Last updated” date.
