notifications@yourlogika.app through Google Workspace.At a glance
This page describes how email is sent by Logika, a practice operations platform for dental and specialty practices operated by Organic Search Inc. It covers email Logika sends for itself and email it sends on behalf of the practices that use it.
Who sends email
- Logika, for itself — account and security email and activity notifications to practice staff. Sent from
notifications@logikadental.com. - Logika, on behalf of a practice — appointment confirmations and reminders to that practice's patients, when the practice turns them on. The practice's name appears in the sender name and replies go to the practice. Sent from
appointments@logikadental.com.
All Logika email is sent from domains we own and authenticate. Practices cannot send from Logika using an address on a domain they have not verified with us.
Types of email
| Who receives it | Why they receive it | How to stop it | |
|---|---|---|---|
| Workspace invitation | A person invited by an admin of an agency or practice workspace | An admin entered their work address to give them access | Ignore it; no further email is sent unless they accept |
| Password reset, password changed | The account owner | They requested a reset, or their password changed | Security email, sent only on request; ends when the account is closed |
| Activity notifications (new lead, new appointment, call needs review, new chat message, documents uploaded) | Practice staff on the practice's notification list | Their practice added them to receive these alerts | “Manage notifications” link in every message, or practice settings |
| Appointment confirmation and reminder Coming soon | A patient of the practice | They booked or have an appointment with the practice and provided their email for it | “Stop email reminders” link in every message; the practice can also turn reminders off |
Logika does not send newsletters, promotions or marketing campaigns, for itself or on behalf of practices. If that ever changes, this page will be updated first, and such email will only go to people who gave express opt-in consent.
How addresses are collected
- Account users are added by an administrator of their own organization, one address at a time, for the purpose of giving them access.
- Notification recipients are chosen by the practice in its settings. A practice can only add addresses of its own team.
- Patients provide their email to their practice when they book or request an appointment — on the practice's Logika booking page or directly with the practice. We use it only for messages about their appointments with that practice.
- People who request a demo give us their work email so that we can reply. We use it only for that conversation, and it is never added to a mailing list.
Consent wording
This is the wording people see when they give us or a practice their email address.
Requesting a demo or booking an appointment never signs anyone up for any mailing.
What we never do
- Buy, rent, borrow, scrape or harvest email addresses, or import purchased or third-party lists.
- Send cold or unsolicited email through Logika's email infrastructure, for ourselves or for any practice.
- Share or sell recipient addresses to anyone for their marketing.
- Email an address after it has unsubscribed, hard-bounced or marked our email as spam.
- Put patient names, phone numbers, visit details or other health information into notification email.
- Use misleading sender names, subject lines or headers.
Unsubscribing and preferences
- Activity notifications link to notification settings. Any recipient can turn them off there, and a practice admin can remove a recipient at any time.
- Appointment emails include a link to stop email reminders from that practice. Stopping reminders does not cancel the appointment.
- Security email (password reset, password changed) is sent only in response to an account action and cannot be turned off while the account is active.
Unsubscribing never requires signing in, and we do not ask for anything other than the click. See the email preferences page that every unsubscribe link opens.
Bounces, complaints and suppression
Delivery events from our email provider — deliveries, bounces and complaints — are received automatically and processed by Logika.
- Hard bounce (address does not exist): the address is added to our suppression list at once and is not emailed again.
- Soft bounce (mailbox full, temporary failure): retried by the provider; after three consecutive soft bounces within 72 hours the address is suppressed.
- Complaint (recipient marks a message as spam): the address is suppressed for every non-essential email, and the complaint is reviewed by our team.
- Thresholds: we watch bounce and complaint rates for Logika as a whole and for each practice. If a practice goes above a 2% bounce rate or a 0.08% complaint rate, its appointment email is paused until we review it with the practice.
Suppressed addresses can only be restored when the recipient asks us directly.
Authentication and infrastructure
- SPF, DKIM (2048-bit) and DMARC are published for every domain we send from.
- A custom MAIL FROM subdomain,
bounce.logikadental.com, keeps bounce handling on our own domain. - Mail is delivered over TLS whenever the receiving server supports it.
- All Logika email is transactional and is sent from
logikadental.com: account and notification email fromnotifications@, appointment email fromappointments@, so recipients can tell them apart.
Content standards
- The sender name and subject line describe the message honestly.
- Every email names Logika or the practice it is sent for, and Logika email carries our company name and contact details.
- Notification email contains only the type of event, the practice name and a link; details stay in Logika behind sign-in.
- Email does not carry attachments; documents are shared through secure links.
- Nothing is sent from a no-reply address. Replies to Logika email reach our team; replies to appointment email reach the practice.
Patient email and HIPAA
Patient information is protected health information. Appointment email to patients is sent only through email infrastructure covered by a Business Associate Agreement, and contains only what the patient needs to manage the appointment: the practice name, date, time, location and a link. It never includes diagnoses, treatment details, balances or clinical notes.
Responsibilities of practices
Practices that use Logika's email features agree to our Acceptable Use Policy. In short, they may only add addresses of their own staff and patients, must use patient email only for appointment communication, and must honor every opt-out. Practices that break these rules lose access to email features.
Sending volume
Logika currently sends about 1,300 emails per month. As practices turn on appointment email, we expect up to about 430 emails per day within the next twelve months, growing gradually with the number of practices. Volume follows real account activity: we do not send bursts or blasts.
Contact and reporting abuse
If you received email from Logika that you did not expect, forward it to abuse@logikadental.com. We reply within one business day and stop the email while we investigate. Other questions: support@logikadental.com.
